Job Description: Office Manager

Overview:

Groundwork Ohio seeks an experienced, highly-effective, detail-oriented Office Manager passionate about Ohio’s youngest and most vulnerable children and the families that support them. The successful candidate will manage the organization’s operations and support grant writing and reporting to further its robust early education and healthy development policy agenda.


Job Responsibilities:

  • Handle weekly and monthly financial management tasks, including invoicing for services rendered, processing check requests for monthly and as-needed expenses, submitting credit card reports, allocating salaries, and updating grant expense tracking.

  • Manage accounting records and certain online bank accounts and help facilitate outside audit in conjunction with the board of directors and accountant.

  • Collaborate with the President and Chief Operating Officer to improve accounting and bookkeeping procedures, budgeting, expense reports, cash flow analysis including revenue and expense projections, as well as internal controls.

  • Coordinate with consultants and vendors to develop, execute and renew contracts, process payments, and ensure agreed upon services are rendered satisfactorily.

  • Develop and maintain an organized and efficient record-keeping system for financial, legal, and governance documents. Create forms, instructions, and manuals as needed to ensure smooth office operations.

  • Ensure timely grant submission, tracking, and reporting with support from the Groundwork team.

  • Draft, review, and send correspondence on behalf of President and Chief Operating Officer, including coordinating bulk mailings to stakeholders and policymakers.

  • Manage the Groundwork Ohio office including overseeing weekly cleaning, securing office supplies as-needed, overseeing needed maintenance, communicating with property management office, etc.

  • Oversee logistics planning for Groundwork events, convenings, and meetings (e.g., developing and executing event planning timelines, coordination with vendors, scheduling, purchasing materials, setup, etc.)

  • Support the Groundwork Ohio board of directors and Groundwork Ohio committees by overseeing meeting scheduling, agenda development, communications, secretarial duties, space preparation, refreshments, etc. in coordination with the President and Chief Operating Officer.

  • Support the policy team as-needed to effectively advance Groundwork’s policy, advocacy, and stakeholder engagement efforts.

  • Other duties as assigned.

Required Qualifications:

  • Passionate about advancing Groundwork’s mission.

  • Committed to diversity, equity and inclusion.

  • Minimum of a Bachelor’s degree with at least 4 years relevant experience.

  • Computer skills, including experience with Microsoft office products (specifically Outlook, Word, Excel, PowerPoint), required. Knowledge of Quickbooks a plus.

  • Experience performing administrative duties.

  • High proficiency in oral and written communication and significant experiences that demonstrate successful practice of interpersonal relationship skills.

  • Thoughtful, self-motivated, and resourceful problem solver, eager and willing to learn in a fast- paced environment

  • Strong work ethic with a can-do attitude.

  • Willing to travel as needed.
